Manage Service & Maintenance Data

Platform provides an option to keep a record of all the Service and maintenance done for your fleet. This can include the General service cost, cost incurred for changing the tyres/spares, Fuel cost etc.

You do have an option to set alerts also for any upcoming Service or renewal. Example: asEngine oil change, Insurance renewal etc.

How do I add Service related details?

Service-related details can be added to the platform in two ways: either by adding a service log manually or by importing an Excel file with the required information.

Add a Service log manually

Step 1 : Add a Service log

Navigate to “Services” tab and choose “Service log”. Click ”+” icon and opt “Add”.

You can select a vehicle (under “Vehicle”) and choose the completed service item from the dropdown list (by clicking “Add a completed Service”).

Step 2: Click Done

Once you have selected the completed service items, click “Done”.

Step 3: Add service details

Enter necessary details related to the completed service, such as labor costs and parts, and optionally attach an image (invoice or any other relevant document) by clicking the ”+” icon under “Attach image”.

You have successfully added the service log.

Import Service Log

All the services done for your vehicles can be kept as a record in the platform with the help of Excel sheet.

Please follow below steps to learn how to import a service log:

Step 1: Import a Service log

Navigate to the “Services” tab, select “Service log”, click the ”+” icon, and then choose “Import”.

Step 2: Download a sample file

Select “Download a sample .xls to import service log (Completed entries)”.

Step 3 : Enter the required information

Remove existing data in the downloaded file, add your service related information and save the file.

Once done, upload this file.

Step 4: Match Fields

Match the Fields in Excel sheet with Application Fields.

Step 5: Review Fields

Review the details once again and click “Finish”.

A confirmation message will be displayed now. Click “Done”.

You have successfully imported a service log now.

Fuel Log

Fuel log can be added to the platform by following the same steps in adding a Service log: either by adding a Fuel log manually or by importing an Excel file with the required information.

Add a Fuel Log Manually

All the details (fuel quantity, Price etc) pertaining to fuel can be saved in the platform. Platform also provides an option to generate reports based on these saved data.

Please follow below steps to add a “Fuel Log”

Step 1 : Add a new Fuel log

Navigate to the “Services” tab, select “Fuel log”, click the ”+” icon, and choose “Add”.

Step 2 : Enter the required details

Enter the required details and “SAVE” the changes.

Tyre Log

It is essential to keep a track of all the the expenses incurred for changing the tyres and other information connected with it. You can keep a copy of the bills or even an image of the tyre (condition) for any future reference.

Tyre log can be added to the platform by following the same steps in adding a Fuel log: either by adding a Tyre log manually or by importing an Excel file with the required information.

Step 1: Add Tyre Log

Navigate to the “Services” tab, select “Tyre log”, click the ”+” icon, and choose “Add”.

Step 2: Enter required details

Enter the required deatils and “SAVE” the changes.

A new Tyre log has been added now.

Events

Information pertaining to Events such as Accidents/Incidents can be stored in the application for any future reference.

How tdo I add events in the application?

Step 1: Click “Events

Navigate to the “Services” tab, select “Events” and click ”+” icon to add an event

Step 2: Add required info

Brief on an event (example – accident) Occurred Date, Driver name and type of the event- Minor, Major,Severe and click on “SAVE”

Notifications

Notifications for any category (Service Log, Fuel Log, Tyre Log, Fleet Log Misc Expenses, Events) can be viewed by Selecting Bell Icon.
